Volunteer Guidelines & Group Volunteering

PLEASE REVIEW THE FOLLOWING GENERAL VOLUNTEER GUIDELINES.

  • Volunteers must register online in advance; walk-ups will not be accepted. Some age restrictions apply depending upon specific tasks.

  • If you need to cancel, please email events@charmcityrun.com as early as possible.

  • All volunteers will be given a Charm City Run Events volunteer t-shirt at check-in so please provide your shirt size during the registration process.

  • Please arrive on time for your assignment and check-in at the registration table.

  • Please plan to assist for your entire assigned shift. If you leave early, you may compromise the safety of runners or spectators. If you need to leave early in the case of an emergency, please notify your Charm City Run Team Lead.

  • We love pets, but sadly they are not permitted at the volunteer stations.

  • In the interest of safety, please do not bring your children with you unless they are registered as volunteers.

  • Letters of service will gladly be issued upon request.

WHEN YOU REGISTER TO VOLUNTEER WITH CHARM CITY RUN EVENTS, WE ASK YOU TO HONOR THESE STANDARDS OF CONDUCT:

  • Conduct yourself as a friendly, responsible, informative, and respectful representative of Charm City Run Events.

  • Treat everyone with respect and courtesy.

  • Refrain from public criticism of participants and other volunteers.

  • Refrain from the use of profane, insulting, harassing, or otherwise offensive language while volunteering, including in social media postings of any kind.

  • The use of drugs, alcohol, and tobacco are prohibited at all Charm City Run events.

  • Follow the directions of your Charm City Run Team Lead and/or CCR Volunteer Coordinator.

VOLUNTEER GROUPS – GROUPS MUST CONSIST OF A MINIMUM OF 10 PEOPLE

  • Advance registration is required.  Please email events@charmcityrun.com to register so that we can keep your group together on race day.

  • Volunteer groups can be from companies, churches, athletic teams, civic leagues, cultural organizations, running clubs, charities, military commands, or any similar organization.

  • This is a great opportunity for the group to give back to the community and make a difference in the lives of others, build camaraderie and team chemistry, and showcase to the community who the group is and what your group does.

  • Personalized letters of community service for each volunteer for their records available upon request.

  • Volunteer t-shirt for each group volunteer will be provided at check-in.

  • Each volunteer group must designate a volunteer group leader.

GROUP LEADER RESPONSIBILITIES ARE AS FOLLOWS:

  • Communicate with our Volunteer Coordinator prior to, during, and after the event.

  • Help with volunteer recruitment, group roster submissions, and race day information dissemination.

  • Designate one person (if not the group leader) to be the race weekend point of contact.  This person must have a cell phone in order to communicate during the event.

  • Chronicle the group’s experience with photos so that we can add them to the Charm City Run website and Facebook page.

  • Monitor the weather as the event approaches and dress accordingly.

  • Regardless of any and all weather conditions, prepare your group and have them show up to their assignment with a smile, ready to spread positivity and enthusiasm for the event.
